We are seeking a dynamic Business Assistant with excellent communication skills to work as part of a small Business Support Team and to assist in the provision of support for over 50 professional social work staff based in Colonsay Resource Centre.
This location provides a wide range of services to children, young people and families and is a very demanding environment. You will come into contact with a variety of people, including correspondence, information etc, which you must be able to deal with sensitively and confidentially.
This is an exciting opportunity to gain a wide range of administrative skills, for example, managing room bookings, inputting data onto different electronic systems and using Microsoft Office packages extensively. There is also an opportunity to learn about financial transactions (from placing orders on our ordering system to issuing funds to social workers etc).
Practical skills required for this post include:
- Customer Service (meeting and greeting people at reception who are either visiting or attending meetings; dealing with room bookings and housekeeping arrangements)
- Word processing
- Excel spreadsheet work
- Inputting data onto social work practitioner system (training will be provided)
- Formatting reports
- Finance work e.g. petty cash handling, placing orders
- Processing property requests.
The nature of the service is very reactive and it is essential for the successful post-holders to have excellent organisational skills and the ability to re-prioritise tasks.
You must be able to communicate effectively verbally and in writing whilst being sensitive and respectful of circumstances. Maintaining confidentiality is important in light of the content of information you will be dealing with.
You should have an excellent knowledge of Microsoft Office, particularly Outlook and Word and have the ability to work under pressure and to tight timescales.
We are looking for someone who is flexible and adaptable as you will likely hop from one task to another depending on the levels of priority.
