Job Description

JOB TITLE: Personal Assistant to the Chief Procurement Officer

LOCATION: Edinburgh
SALARY: £27,000 - £29,500
HOURS: Full Time

WORKING PATTERN: Our work style is hybrid, which involves spending at least two days per week, or 40% of our time in the Edinburgh office.

About this opportunity
As Personal Assistant (PA) to the Chief Procurement Officer (i.e. CPO - internally known as Group Sourcing & Supplier Management Director), this is your opportunity to be the first point of contact for the Director and his leadership team, interacting with colleagues and senior leaders at all levels, both internal and external to the Group.

Day to day you’ll carry out

  • Management of the Director’s inbox including email screening, responding to actions & prioritising requests.

  • Extensive Diary Management, liaising with several executive teams' PA’s at a time to sync at any one time.

  • Meeting preparation including sourcing & creating materials.

  • Build & maintain relationships with various stakeholders both internally and externally at all levels.

  • Key point of contact in the office for department related activities.

  • Maintain a high level of confidentiality.

  • Booking Travel in adherence with LBG travel policies including changes & cancellations in UK, India and US.

  • Lead the support team to co-ordinate across the 5 x PA/SBSA (Senior Business Support Assistant) in the department to ensure consistency of culture, approach and quality and maintain proactive coverage for holidays.

  • Workday tasks including holiday recording, recruitment & onboarding.

What you'll need

  • High level of organisation & an ability to prioritise your workload and adapt to changing circumstances.

  • Strong stakeholder management & relationship building skills.

  • Knowledge of all Microsoft Applications.

  • Internal candidates only: knowledge of LBG systems including HRG, IT@LBG, Condeco, Valued & Nerve Centre.

And experience of this would be useful

  • Knowledge of systems including Workday & expenses.

  • Previous PA experience looking after a c-suite executive across a large corporate organisation.
