RECEPTION

·         Welcome visitors to the KCT office

·         Receive all incoming calls

·         Handle all incoming and outgoing mail

·         Distribute public information

·         Handle community enquiries 

·         Pass relevant information to the Directors

·         Maintain filing system

·         Order stationery and consumables

 

BOARD & MEMBERSHIP

·         Circulate Agenda and relevant papers for Board meetings

·         Take minutes at Board meetings and prepare draft for Board approval

·         Liaise with Board members on relevant issues between meetings

·         Maintain an up-to-date list of KCT members

·         Circulate AGM papers in line with constitutional requirements

 

MEDIA

·         Maintain and update KCT website through the Trust’s web designer

·         Maintain and update Facebook page

·         Display posters on public noticeboards

·         Create distribute KCT monthly newsletter

 

 

OFFICE MANAGEMENT AND COMMUNICATION

·         Attend board meetings and sub committee meetings and prepare associated papers

·         Liaise with Directors regarding the governance and requirements of Companies House and OSCR.

 

LAND MANAGEMENT

·         Undertake factoring duties for all community owned land and property portfolios

·         Implement rent reviews for all tenants

·         Management of lease arrangements with the board.

·         Organise maintenance of existing buildings

 

·         Tenant dispute resolutions and negotiations concerning tenant and Trust improvements

·         Maintain Asset Register/ work with the board to update management system within KCT

·         Carry out formal annual client care meetings with all tenants and prepare reports for board with any recommended action required

·         Liaise with potential tenants for existing/new infrastructure

·         Liaise with event organisers regarding land use and agreements

 

GENERAL 

·         Adhere to all KCT Policies and procedures

·         Undertake ad hoc duties or projects as required by the Board

 

OUTLINE CONDITIONS OF EMPLOYMENT

·         The post will be based on a(flexible) 21-hour working week; some evening work will be required (weekly, may change Board meeting)

·         No overtime will be paid, but time off in lieu will be agreed with Chair of the Board

·         Annual holiday entitlement is as per statutory holiday entitlement, you may be required to take leave at specific times of the year, liaise with Chair of the Board 

·         The Trust’s sick policy will apply

·         Competitive salary depending on skill set and experience

·         If entitled, you will automatically be enrolled in the KCT pension scheme.

ESSENTIAL SKILLS

·         Management experience

·         Excellent communication and organisational skills 

·         Good IT Skills; experience of Microsoft Office

·         Self-motivated

·         Team worker

 

DESIRABLE SKILLS

·         Experience of estate management would be a plus but not essential
