About the role:

Reporting to the managing PA, the PA support will provide an efficient, proactive and professional support service to the Investment teams based in London.  They will also assist with PA/Support cover and additional BAU tasks within the Investments division of abrdn.  

Key Outcomes will include:

  • Providing 1:1 support to the Deputy Head of Global Emerging Markets

  • Support the Deputy Head of Global Emerging Markets & the investment team with their secretarial and administrative needs, including coordination of internal and external meetings and workshops, global conference calls, global travel arrangements and diary management.

  • Meeting preparation - ensuring that at all times that fund managers and head of team are fully briefed prior to meetings, relevant paperwork is available etc.

  • Domestic and international travel as well as organising itineraries (including organisation of corporate access), currency and entry visas to emerging market destinations, as and when required.

  • Regular delivery and processing of monthly expenses & invoice processing for research trips

  • Maintaining and updating spreadsheets relevant to the department

  • Assist with the preparation of various papers/meeting packs/minutes and attend and minute meetings as necessary.

  • Preparing investment meeting materials on a weekly basis

  • Significant, proactive and achievable diary management

  • Arranging & recording client meetings requests

  • Assisting with the organisation of any team meetings, dinners, offsites and events

  • Collating reports/ manage the team’s outstanding stock notes & completion dates

  • Represent the teams and establish and maintain good relationships with all areas of the business.

  • Provide assistance on ad hoc projects or BAU requests

  • Provide cover for other PA’s & support staff as required

  • Flexibility

  • Able to work under pressure to deadlines and is comfortable prioritising work and making judgements on the urgency of matters.

  • Exceptional communication skills

  • Enthusiastic and professional

  • MS Word, PowerPoint and Excel skills to an advanced level are essential for this role

Experience:

  • 5 years previous experience in a similar role

  • Significant diary management experience

  • Previous experience in the Financial/Asset Management industry is preferred but not essential

  • Excellent knowledge of all Microsoft Office packages, particularly PowerPoint and Excel

  • Knowledge of key administrative processes and procedures

  • Experience supporting a fast paced department
