The Opportunity:
Visit Inverness Loch Ness (VILN) promotes Inverness and the Loch Ness region as a premier travel destination. Working with local businesses and stakeholders, it supports tourism and economic growth through marketing, events, and resources for Tourism BID members. VILN emphasises sustainable tourism, enhancing visitor experiences, and preserving the area's natural beauty and heritage, ensuring the region remains attractive to tourists while benefiting the local community.

This is a fantastic opportunity to play a crucial role in the smooth operation of our office, where no two days are the same, supporting the team and our work promoting tourism and business development in the region.
Key Responsibilities:
- Serve as the first point of contact for levy payers, opt-in members, and general enquiries, ensuring these are directed to the appropriate team members.
- Liaise with Highland Council on administrative matters related to the Tourism BID levy.
- Maintain and update our organisation’s databases.
- Manage all administrative processes (including new member onboarding, reporting, expenses etc).
- Work closely with our bookkeeper to ensure timely payment of invoices, issuance of outgoing invoices, etc.
- Administer business workshops and networking events.
- Handle general office administration such as filing, data entry, mailings, and ordering supplies.
- Produce and distribute newsletters and other e-bulletins as required.
- Assist with maintaining/administering VILN’s social media channels as needed.
- Provide support to the team as required.
- Ensure personal compliance with GDPR regulations.
- Keep the Chief Executive informed of any issues arising from assigned tasks
What We Offer:
- A competitive salary up to £14 per hour, depending on experience.
- 28 days of holiday per year, plus an additional 8 public holidays.
- Office based.
- Flexible working days by agreement, with consideration given to business needs. Occasional weekend working is required.

Requirements
Essential Criteria:
Experience & Skills:
- Proven experience in a similar role.
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database management.
- Excellent communication skills, both written and verbal.
Personal Qualities:
- High level of accuracy and attention to detail.
- Proactive and self-motivated, with the ability to work independently and as part of a team.
- Strong interpersonal skills, with the ability to interact professionally with colleagues, members, and external partners.
- Reliable and trustworthy, with a commitment to maintaining confidentiality.
- Flexibility to adapt to changing priorities and business needs.
Knowledge & Understanding:
- Understanding of GDPR and data protection principles.
- Office systems and procedures.
- Customer service principles.
Desirable Criteria:
Experience & Skills:
- Experience working within the tourism, hospitality, or non-profit sectors.
- Experience managing events or workshops.
- Basic bookkeeping knowledge, including invoicing and record-keeping.
- Copywriting.
Personal Qualities
- A passion for the area and promoting local tourism.
- Willingness to learn and develop new skills.
Knowledge & Understanding:
- Familiarity with social media platforms and their use in a business context.
- Awareness of the tourism industry, particularly within the VILN area, is advantageous.
Qualifications:
- A relevant qualification in administration, business, or a related field is desirable but not essential. Equivalent experience will be considered.
