The purpose of the role:
As the CoE (Finance Centre of Excellence) Team Administrator you will provide cohesion between all team members, team activities and be the admin link with customers and suppliers.
You will coordinate schedules and meetings and assist in the preparation of team documents and communication materials. The team works in a hybrid way and meets regularly, you will coordinate and book travel arrangements. The position will include raising purchase orders, and ensure invoices are paid on time. Finally, you will onboard new team members including pulling together induction programmes and associated administration.
Key Responsibilities
The key focus areas for the Team Administrator role are:
- Collating Managing team schedules, appointments, travel bookings and meetings including taking minutes and coordinating post-meeting actions.
- Assisting with the preparation of CoE reports, presentations, and promotional and website materials (all in alignment with Aggreko standards).
- Responsibility for the CoE SharePoint site and updating material when required.
- Manage team documents and the SharePoint folder and coordinate updates to key team documents and policies, including risk and management reporting.
- Help create an inclusive culture by onboarding new team members with the very best support.
- Performing general administrative tasks, onboarding suppliers, ordering services and processing invoices and act as a liaison between the team and other departments or stakeholders within the organization.
What we’re looking for:
- Good experience working in a similar position in a fast paced environment.
- Strong organisational skills and an excellent attention to detail with a proven ability to manage multiple tasks concurrently.
- Highly proficient IT skills, in particular the ability to manage electronic diaries, emails and the MS Office suite of programmes.
- Exceptional communication and interpersonal skills and an ability to engage with stakeholders throughout the business at all levels.
- Ability to cope with a wide range of competing demands and changing priorities.
- Ability to anticipate issues, problem solve and provide practical innovative solutions.
- Experience of maintaining complex source material/information/data.
