We are looking for a professional and responsible person to run our office and give administrative support to the Managing Director and senior management team.
Principal Tasks
Office administration and senior management support– including:
- Invoice processing, raising sales invoices and collating the monthly pay roll
- Screening and directing phone calls and distributing correspondence
- Providing a cordial reception to all office visitors
- Managing the MD’S diary and scheduling meetings and appointments
- Taking meeting notes, preparing, editing and distributing minutes
- Preparation and formatting of management and board level documents
- Supporting other members of the senior management team in any other administrative work that may be required
- Handling and responding to all correspondence
- Making travel arrangements
- Preparing expense claims
- Handling tourism enquires during office hours in the planned absence of both the Accommodation & Events coordinator and the Retail & Food enterprise Manager
- Farm administration, including - Upkeep of the farm Livestock Record Programme, including animal passport controls, livestock movements and general livestock regulations
Administration of let property, including:
- Maintaining the property management system including property compliance, lease renewal and rent review dates
- Liaising with tenants and instructing routine compliance and maintenance tasks under the guidance of the management team
Energy administration, including:
- Management of energy contracts, meter readings and processing of invoices
- Access to company accounts
- Keeps track of business rates direct debits
- Receives notification of PPA, FIT, RHI income and monitors electricity expenses
Requirements
Skills
Proficiant in IT and the Microsoft Office package
Discretion and tact
Bookeeping and experience of QuickBooks highly desirable
Strong organisation & people management skills
Ability to prioritise and multitask efficiently
Strong command of the English language
Attention to detail and accuracy
Self-motivated
Excellent communication skills
A driving licence would be an advantage
Additional IT training available for the right candidate
