What you’ll do:

As Facilities Administrator, you will assist the Contract Manager with the delivery of the Client Contract responsibilities. Your key duties will include; 

  • Raise, track, and manage purchase orders for reactive and planned maintenance.
  • Work closely with engineers, subcontractors, and suppliers to ensure timely service delivery.
  • Maintain asset registers and ensure compliance with planned preventative maintenance (PPM) schedules.
  • Ensure contractor compliance with health & safety requirements.
  • Support site audits and inspections, ensuring adherence to statutory and contractual obligations.
  • Monitor and update maintenance records in the CAFM system.
  • Process and reconcile invoices, ensuring accuracy and cost efficiency.
  • Request quotations, raise purchase orders, and manage supplier accounts.
  • Compile and produce monthly, quarterly, and annual FM reports, ensuring accuracy and attention to detail.
  • Process timesheets and assist with payroll-related tasks.
  • Manage and respond to queries in generic FM inboxes, ensuring clear and professional communication.

What you’ll need:

To be successful in your application, you will have similar previous experience in an administrative role including the delivery of excellent customer care, preferably obtained within a Facilities Management role. You will be a confident communicator with an excellent level of computer literacy. You will be able to prioritise your work in an effective way to adapt to changing requirements. 

 

A valid UK driving licence is required. 

 

The successful applicant will be required to submit to Enhanced DBS with child barred list screening before starting in the job.
