Admin and Communications Officer

Dunvegan Community Trust are recruiting for an Admin and Communications Officer. The focus of the role is supporting the voluntary committee by providing vital administrative and communication support, and providing an integral link between DCT and the community, by sharing news across multiple platforms.

Hours- 14 hours per week

Salary- £25000 pro rata

 

Role specific tasks:
Administrative

  • Produce agendas / minutes / relevant documentation for committee
    meetings, AGM and other internal meetings where necessary.
  • Maintaining schedule for and facilitating necessary policy reviews
  • File and distribute minutes, upload to website.
  • Developing community newsletters with support from other DCT Staff
  • Updating website with news including funding granted with support from
    other DCT Staff
  • Keep secure files of any important documents on shared digital workspace.
  • Basic book-keeping oversight (Xero Software) in collaboration with POs
  • Liaising with and submitting EOY information to accountant
  • Bookkeeping / financial support - paying invoices, logging expenses, filing, in
    accordance with DCT Financial Policy
  • Maintaining up-to-date registers of Membership, Trustees, and Volunteer
    drivers
  • Keeping OSCR online up to date and submitting annual returns based on the
    Annual accounts and Trustees report
  • Monitoring schedule of Insurance Policy renewals/ Road Tax
  • Maintaining the schedule of inspections and maintenance for relevant assets-
    ie) minibus, Park equipment, gym equipment, etc.
  • Monitoring inbound funding applications, replying, providing information to
    trustees in advance of committee meetings.
  • Responding to funding applicants with questions/ results and timescale.
  • Keeping up with previous applicants and reminding about project progress
    reports, where applicable.
  • Supporting volunteer recruitment and communication.
  • To help facilitate the smooth operation of the trust & its ongoing liaison with
    the community.

Communication

  • Support DCT in developing a communication strategy, including social media,
    newsletter and website
  • Weekly updates of the website including writing content with input from PO’s
  • Writing digital and paper newsletters with input from POs
  • Monitoring emails, replying/forwarding. 
  • Actively promote membership of DCT through all available communicationchannels on an ongoing basis
  • Managing a social media presence, monitoring social media, and creating a
    monthly plan of scheduled posts in addition to more frequent sharing and
    activity.
  • Helping maintain constructive links with other groups in the area (Community
    Council, Community Hall, other Development Trusts, etc
Requirements

Specific Skills and Experience:

  •  Proven experience in providing administrative support, operational support,
    including financial capability
  • Strong technical ability to use a variety of applications including Google
    Workspace, Microsoft Word, Excel, PowerPoint.
  • High standard of written and spoken English and confident presentation
    skills.
  • Bookkeeping knowledge / financial acumen
  • Strong working knowledge of social media and other communication
    platforms

Desirable Skills/Experience

  • Preferred experience within non-profit groups, community development
    activities, ideally contributing towards local projects.
  • Local knowledge/experience of the challenges faced by rural communities
  • Working knowledge of applications such as Xero will be an advantage.
  • Gaelic language skills (any level)
  • Ability to work effectively both independently and as part of a team.
  •  Self-motivated, passionate about making a difference, proactive can-do
    attitude.
  • Ability to complete projects in a timely manner.
  • Friendly, enthusiastic, and positive attitude to maintain positive relationships.
  • Capacity to work with a diverse range of people, groups, and organisations.
  • The successful candidate will be ideally based on the Isle of Skye,
    consideration will also be given to candidates who are able to travel to
    Dunvegan on a regular basis.
