To provide clerical and administrative support covering a range of tasks.
KEY TASKS AND RESPONSIBILITIES
Corporate ResponsibilitiesTo undertake individual role in line with the Council's Strategic Priorities and in compliance with the Council's corporate policies and procedures. To undertake any other reasonably required duties as instructed by Management or someone acting on their behalf, in addition to the role specific tasks & responsibilities detailed below.
Role Specific Tasks & ResponsibilitiesTyping/word processing a variety of documents e.g. memos/letters/reports. Entering and retrieving data from a range of computerised or manual systems,maintaining confidentiality and sensitivity where appropriate. Compiling information, producing basic statistics and completion of checklists. Filing, photocopying, faxing and processing mail. Deal directly with queries from colleagues and customers through telephone, written or face to face contact. Cash handling, including collection, reconciliation and banking of various monies, ensuring adherence to departmental guidelines. Administer and control the issue of school meals tickets. Ordering of stationery, supplies and equipment and associated procedures related to receipt of goods, checking, storage and periodic stock taking. Arrangement for school trips and parties, including processing relevant documentation. Library duties; including maintenance of catalogues, books and other library resources. Setting up audio visual aids and equipment, including storing and keeping registry of tapes and cleaning equipment etc. Preparation of class related work, including all materials. General school clerical duties including; control of lost and found items, communications and operation of direct purchasing procedures. Update school supply booking system for teachers. Maintain records for pupil registration/enrolment staff attendance and teacher's personnel records. General supervision of pupils as directed by the Head Teacher and Pupil Welfare e.g. clothing, hygiene, first aid etc. Medical administration e.g. maintain records, arrange for examination/appointments etc. Provide clerical and administrative support for Devolved School Management (DSM).
ESSENTIAL / DESIRABLE CRITERIA
Education and QualificationsEducated to Standard Grade 3 in Office and Information Studies or equivalent Educated to HNC or SVQ Level 3 or equivalent in business administration or equivalent Application Form Interview
