Contract Administrator

Reports To: Operations Manager

Responsible For: No other staff


Job Purpose

To ensure that high levels of administrative, clerical service and support are provided to Argyll Homes for All

To carry out all aspects of office management, office supplies and equipment

To assist in the delivery of services to customers.


Main Objectives of the Post

To ensure:

The development and implementation of efficient systems of administration and office management in order to provide a high quality working environment and customer service facility.
The efficient planning and allocation of works to operatives together with arranging and confirming appointments.

Principal Duties

To provide administrative and clerical support to all employees of Argyll Homes for All

To deal with day to day customer enquiries in relation to the Company’s services by telephone, email and in writing

To schedule repairs appointments, including access arrangements, by liaison with customers and operatives to ensure an efficient service

To assist the Planned Preventative Maintenance Manager with the dynamic scheduling of repairs and pre-planned maintenance works

To carry out customer satisfaction surveys following completion of works

To ensure data recording, processing, records management and storage systems are in place

To ensure invoices are processed efficiently both for payment and being raised

To deal with queries from operatives in an efficient manner

To book and close works carried out by sub contractors

To provide support with all “domestic” arrangements e.g. visitor hospitality, office supplies,



To comply with the Company's code of conduct and professional standards by behaving in a professional manner at all times.

To ensure all statutory and Company regulations are followed, including Health & Safety, in order to protect customers, employees and the business interests of the Company

To be able to work outside normal working hours when required
