Personal Assistant

Role Description
You will act as the key point of contact and provide dedicated comprehensive administrative and secretarial support to the Partners in our Public Sector Practice, as well as the wider team. You will be a nominated representative of the senior employee(s), where appropriate. You will need to be highly motivated and possess key attributes around planning, organising and attention to detail.

Key responsibilities will include

  • Prepare draft agendas and supporting documentation for meetings to ensure that they are well organised and run smoothly.

  • Personal Assistance and Diary Management

  • Respond to internal and external meeting requests and arranging the necessary resources.

  • Preparation of agenda, correspondence and presentations of forthcoming meetings on behalf of the .

  • Support to wider internal groups and committees.

Administrative Support

  • Attend meetings, as requested, ensure that clear concise notes are taken and distributed accordingly and expedite actions as appropriate.

  • Preparation of presentations, proposals, external tender and other associated documentation in conjunction with the appropriate internal contact.

  • Meeting preparation and ordering catering where appropriate

  • Pro-actively arrange all travel and accommodation requirements. Produce itineraries, where required, detailing all relevant meeting contacts, supporting background information and travel details. Process, monitor and retain records of expenses.

  • Preparation of invoices for clients on a monthly basis, using the appropriate application.

  • Screen and deal with client calls as appropriate, ensuring that any appropriate actions from the client call are dealt with / escalated, as appropriate.

Some skills you will need for this role

  • Relevant experience in the provision of support to senior personnel, including extensive diary management and travel arrangements.

  • Proficient in relevant Microsoft or related.

  • Excellent planning and organisational skills.

  • Strong interpersonal and communication skills, demonstrated in the ability to consult successfully at every level within the Firm, and interact professionally with clients.
