Capita Real Estate and Infrastructure are looking to appoint a Bid Coordinator who will play a key business support role within our Glasgow office. The main business areas fall within the Health, Safety, Wellbeing and Environment sectors, so bid support experience relating to one of these industries would be advantageous.

The role

You will support local business leads with guidance from the Sector Bid Manager. You will be involved from pre-qualification stage through to contract execution. As well as providing bid support you will, at times, be required to manage opportunities as a project, dependant on value / complexity, driving inputs from across the business to meet required timescales and quality in-line with the client's buying process.

Key Responsibilities

Bid production:

  • Coordinate the deliverables in the preparation and organisation of bids and direct business development submissions

  • Ensure the corporate bid process is implemented and understood to ensure that quality, commercial, and legal requirements are always met

  • Prepare bids using standard templates to a high level, with attention to detail

  • Work closely with graphic design teams to develop high quality and visually engaging larger proposals

Business Development

  • Daily online opportunity searches, distribution and logging

  • Be an advocate of best practice across all businesses

  • Contribute to business planning workshops as required

  • Preparation of standard library content, to include CVs and case studies


  • Coordinate business development meetings

  • Provide dedicated support to key sector leads by developing and maintaining a strong understanding of service offering, market trends and sector activity

  • Support and promote best practice and knowledge sharing

  • Ensure in-depth understanding of Salesforce capabilities and use as a Customer Relationships Management tool

  • Ensure Salesforce opportunities are up to date and hold accurate management information

  • Ensure a consistent approach to knowledge management across Capita Infrastructure

  • Ensure an in depth understanding of the Capita BMS in relation to relevant business development/bidding processes

  • Ensure a high attention to detail

  • Ability to multi task and prioritise workload

  • Ability to work to strict deadlines, often under pressure

  • Hold a basic understanding of contractual red flags and coordinate the legal review process within the bid team with the Capita legal team

About you

  • Desirable - proven experience within Bid Coordinator role (strong administrative background will be considered)

  • Holds or working towards a Higher Education Qualification

  • CRM and InDesign competent

  • Desirable - APMP Foundation preferably APMP Practitioner

  • Desirable - sector experience within Health, Safety, Wellbeing and/or Environment sectors
